5. Event Evaluation

Utilising event feedback is a cost-effective approach to enhance the quality of an event. Below are three essential aspects to consider:

  1. Did your event meet it's predefined objectives?
  2. How can you continue to maximize the event's impact?
  3. Consider potential improvements for future events.

All University events should establish clear objectives, mutually agreed upon and communicated during the initial stages of the planning process. After the event, an analysis of collected data should confirm the extent to which these objectives were achieved. If objectives were not met, the planning team should delve into the reasons behind this. Key performance indicators, such as attendance/sign-ups, sales, website traffic, and social media engagement, may provide insights.

Sharing the collected data with relevant stakeholders is crucial. Recorded content, if available, should be shared to derive maximum value from the event. In case of event documentation (photos or videos), showcasing these assets is vital.  If consent is obtained, sharing with the press.office@reading.ac.uk can further extend the event's reach. 

A comprehensive evaluation process involves soliciting feedback during the event and subsequently through feedback forms/surveys. Organisers should pose insightful questions aimed at refining future events. A 'wash-up' meeting should be arranged post-event, involving planning members, to review results, document actions, learn from data, pinpoint areas for improvement, and avoid duplicating efforts in future endeavors.
